Few paid staff, plenty to do — and still a clean month-end close

In a charity, volunteers and employees work side by side. What has to be recorded is the working time of the employees — reliably, without a personnel department of your own, and for an amount that fits the budget.

  • 1.00 € per employee and month for non-profit organisations
  • No minimum term, cancellable monthly
  • The full scope of features even with five employees
  • Leave, days off and requests without paper slips
  • Roster duties wherever the work follows a plan
  • A non-profit provider with around 50 employees works with it

Why time recording tends to get postponed here

Three reasons that have little to do with software and still decide the matter.

The money is earmarked

Every euro that goes into administration is missing from the work itself. What counts first is therefore not the feature list but the amount leaving every month — and whether it can be stopped again.

Volunteers and employees side by side

Some of the people in the house are employed, others help out voluntarily. Time recording concerns the employees — and should leave everything around it unchanged.

The administration chapter

Nobody has a personnel department

Leave requests on slips of paper, hours in a spreadsheet, and one person doing it alongside everything else. What is missing is not the care, it is the time.

The leave and absences chapter
With ITN-Zeiterfassung

Small enough for the organisation, complete enough for the payroll office

There is no entry-level edition and there are no feature tiers. Whoever records five employees gets the same program as a business with two hundred.

Digital request form for leave and absences.
Requests run digitally along the line of responsibility instead of on paper.
Working time model with the day cards for the individual weekdays.
One model per set of working time rules — part-time and full-time side by side.
Monthly view of the time tracking with target, actual and balance per day.
The monthly view — target, actual and balance per day, with no spreadsheet of your own. The interface is in German.
Leave account with entitlement, days taken and remaining days.
The leave account keeps entitlement, days taken and the remainder.
The price for non-profit organisations

1.00 € per employee and month plus VAT for public employers and non-profit organisations. Whether your organisation qualifies is something we settle in a short conversation. There is no minimum term; notice is given monthly.

Everything included, even with five employees

Shift planning, leave management, staff messages, the mobile app, reports and the DATEV export always belong to it. There are no tiers under which any of that would have to be unlocked later.

What is recorded is whoever is set up

The people set up are those whose working time is to be recorded. Anyone helping out voluntarily stays outside it — the rollout changes nothing about the work around it.

Leave without paper slips

Leave and days off are drawn graphically across the days, requests run digitally along the line of responsibility with a deputy on file. The leave account keeps entitlement, days taken and the remainder.

Duties where there are duties

Wherever the work follows a plan — care services, open sessions, holiday programmes — shift planning spreads the duties across the monthly grid. The plan sits in the same program as the time tracking.

A provider that works with it

Deutscher Kinderschutzbund Ortsverband Neumünster e. V., a non-profit provider of child and youth welfare services, uses ITN-Zeiterfassung. Around 50 employees work with it: the start was made with the mobile app, and clocking in also happens in the browser at the desk.

Questions and answers

Frequently asked questions from non-profit organisations

Do charities get the reduced price?

The price of 1.00 € per employee and month plus VAT applies to public employers and non-profit organisations. Get in touch and we will settle in a short conversation whether your organisation qualifies.

Is it worth it with only five employees?

The price follows the number of employees recorded. With five employees that is five contributions — and the scope of features is the same as with two hundred. There is no minimum quantity.

Do volunteers have to clock in as well?

What is recorded is whoever is set up in the system. You decide which people those are; for everyone else nothing changes.

Is there a minimum term?

There is no minimum term — notice is given monthly. The recorded times, models and evaluations are kept throughout; there is no need to move to a different scope, because there is only one.

Who administers it in our house?

In small organisations one person with administration rights is enough. They set up the employees, assign the working time models and decide the requests; everything else the employees do themselves on their phone or in the browser.

How do the hours reach the payroll accounting?

Through the export. Wage types are mapped once, after which a DATEV file is produced for each payroll period. Anyone working with a tax adviser sends them that file or a report as a PDF.

Is a non-profit organisation already using it?

Yes. Deutscher Kinderschutzbund Ortsverband Neumünster e. V. uses ITN-Zeiterfassung with around 50 employees — the start was made with the mobile app, and clocking in also happens in the browser at the desk.
